EMS Data: The EMS Data submenu defaults to the Locations function link showing the Location grid where buildings or areas containing practices with associated aspects or equipment/assets (e.g., tanks, <90 day HW storage areas) should be stored. Practices are organized by location within the Practices function link. Within the Aspects function link, aspects can be scored using a customized scoring worksheet and assigned significance. All equipment being tracked for environmental purposes or requiring r egular inspections can be stored within Equipment. The data stored within EMS Data can be related to checklists within the Scheduling submenu.
My Media: This view defaults to Media Statistics, which displays a grid of all media and the number of related practices, aspects, equipment, checklists, findings, permits, and scheduled items. Clicking on a media reveals another breakdown of summary data by types of checklists/evaluations and provides a summary of the number of documents related to the media by document category.
O&Ts: This is where you create and track objectives and targets. O&Ts are assigned to managers who in turn can create a POAM with various milestones. Each milestone can be assigned to another user who can access their milestone via their Tasks grid. As they enter their actions and update the percent completed, the POAM takes the average percentage of all the milestones and reports that value under “Progress.”
POAMs: This is where an independent POAM can be created (not related to an O&T or a finding). In addition, all POAMs related to O&Ts and findings can be accessed from the POAMs grid. The great advantage of a POAM is to track the progress of multiple people assigned milestones within a POAM. Alerts can be associated with each milestone target date to notify you if the milestone is not completed by the target date. It can be used as a management tool to increase accountability and to better track the efforts taken to accomplish a complex task, complete an objective, or resolve a finding.
EMS Tools: The function links contained within this submenu are specialized pages created at the Navy level using an administrative feature that creates forms for capturing data of interest. ISO 14001:2004 has requirements associated with communication logs, EMS audits, emergency response and training. Communication Log can be used to record any type of internal or external communication that requires documentation. Data about previous audits (before using EMSWeb) can be recorded and stored under EMS Audit/Review. Emergency Response provides a place where you can record details on how an emergency response was implemented. Training provides a place to record when and where a training course was given and to attach a student roster or other file (e.g., the training presentation) to the training record.
