Multiple Accounts for the Same User

There are times when the same User will need to have multiple accounts within EMSWeb. For example, it may be desirable to allow an Installation Manager (with Organization Administrator permissions) to have access to the Region (on a View Only basis). In order to accomplish this, we can set up multiple accounts for the user; one as Installation Manager and another as Region – View Only.

The first account is created as normal.

1) For any other account, create an appropriate email address for the user.

EMSWeb has a rule about each user account having unique email addresses. For the second email account, a different email address needs to be created using a “+” sign at the end of their normal email address. Assign user permissions, as needed.

For example, if my primary account has an email of “eugene.wang@navy.mil”, my second user account could be “eugene.wang+RegionalView@navy.mil”. The text after the “+” sign should describe the purpose of that user account. When the user with multiple accounts logs in through EPR Portal, they will be given a choice of which user account (designated by email address) that they will want to log into.

2) Create an appropriate last name.

One good way of avoiding confusion and ensuring that you know which account you are currently looking at, change the last name of the user to add in the purpose of that account. For example, instead of last name “Wang”, use “Wang (Regional –View)”.

3) Update email address in User Profile.

To ensure that any EMSWeb generated email gets sent to the proper address, go to the User Profile icon -> Contact Info -> Email Addresses as shown below:

Click on “Create Address” and use the user’s real email address (same as on the user’s first account). Click the Checkbox next to the real email address, and click on “Set Default”. Now, all EMSWeb generated email will go to the user’s correct email address.
